An organically connected whole of documents formed by a state agency, social organization, or individual is the first-level classification and management unit of the archives.
4 Content composition of fond list
4.1 The fond list is a statistical document that reflects the basic situation of the fonds and the composition and quantity of the archives in the fonds in the form of a table. 4.2 The content of the fond list consists of two parts: an introduction to the fonds and statistics on the composition and quantity of the archives. 5 Format of the entire archive
The entire archive has a cover page and a main page.
5.1 Format of the cover page of the entire archive
5.1.1 The size of the cover page is A-type 297mm×210mm (length×width) or 16-page 260mm×184mm (length×width (see Figure 1).
5.1.2 Items of the cover page of the entire archive
a. Name: entire archive.
b. Archive number: library number or code plus number numberc. Compilation unit: the name of the archive or other archive collection unit that compiled the entire archive.5.1.3 See Figure 1 for the location of the cover page of the entire archive.5.2 Format of the main page of the entire archive
5.2. 1 The paper size of the main page is the same as that of the cover. 5.2.2 The text area of the main page is in the form of a table, consisting of Table 1 and Table 2. 5.2.3 The text area size of Table 1 is 267mm×165mm (length×width) or 230mm×145mm (length×width). 5.2.4 The width of the upper white edge (head) of Table 1 is 35mm±0.5mm or 29mm±0.5mm. 6.1 Introduction to the fonds
The introduction to the fonds column includes: fonds name, fonds name start and end dates, original fonds number, fonds card submission status, types of search tools, microfilm and computer application status, and notes. 6.1.1 Favors name
a. The fonds name should be filled in with the full name or standardized abbreviation. . The fonds name (all previous names) should be filled in chronological order. C
For archives formed before the founding of the People's Republic of China, qualifiers should be added to the fonds name. Example: 1. Ministry of Education of the National Government
2. Miyun County Government (Republic of China)
3. Ministry of Foreign Affairs of the National Government (Wang Puppet)
4. Ministry of Rites (Qing Dynasty)
d. For personal fonds before the founding of the People's Republic of China, the era to which the person belongs should be indicated in parentheses after the name. Example: 1. Duan Fang (Qing Dynasty)
2. Feng Yuxiang (Republic of China)

6.1.2 Start and end dates of the name of the collection
Generally fill in the Gregorian calendar, and you can use the dynasty year or other calendar years when necessary. When using the Gregorian calendar, fill in according to the provisions of GB2808, and add "~" between the start and end years. 6.1.3 Original collection number
Fill in the number of the original preservation unit of the collection that was re-numbered after entering the library. 6.1.4 Collection card submission situation
Fill in the date of submission of the collection card and the name of the superior administrative agency; the date of resubmission after the collection situation changes and the name of the administrative agency to which it is delivered.
6.1.5 Types of search tools
Fill in the types of search tools that this collection has. 6.1.6 Microfilm and computer application situation
The number of microfilm copies of the collection archives and the use of computers. Storage, retrieval and other management situations. 6.1.7 Remarks
Other matters that need to be explained for this archive. 6.2 Archives Statistics
The archives statistics columns include: registration date, name of receiving or transferring unit, archive category, storage period, number of archives received, number of archives removed, and number of existing archives.
6.2.1 Registration Date

The time when archives are received or removed (transferred or destroyed after identification). Please refer to 6.1.2 for filling method. 6.2.2 Name of receiving or transferring unit
The name of the receiving or transferring unit should be filled in with the full name or standardized common abbreviation. The name used before is prohibited. 6.2.3 Archives Category
Fill in the order of different categories and different carriers of archives. 6.2.4 Storage Period
It is divided into three types: permanent, long-term and short-term according to relevant national regulations. 6.2.5 Number of received archives
Fill in the number of catalogued archives and uncatalogued archives received by archive category. The contents to be filled in include: the number of files and the length of the shelves (meters) of document archives, the number of volumes and the number of base maps of scientific and technological archives, the number of boxes (disks) of audio-visual archives (film archives) and the number of sheets of photo archives (negatives), and the number of volumes (books, boxes) of other professional archives (urban construction archives, accounting archives, place name archives, population census archives, art archives, etc.) and various materials.
6.2.6 Number of removed archives
Fill in the number of removed (transferred or destroyed after identification) catalogued archives and uncatalogued archives by archive category. Please refer to 6.2.5 for the contents to be filled in.
6.2.7 Number of existing archives
Fill in the number of catalogued archives and uncatalogued archives remaining after deducting the number of removed from the number of received archives by archive category. Please refer to 6.2.5 for the contents to be filled in.
